Customer Review Workflow Sending Review Requests
🎯 Purpose:
To send personalized review requests via SMS and Email using a custom workflow that works seamlessly with myCRMSIM (unlike the default HighLevel review button, which only works with LeadConnector or Twilio).
🧠 Background (Why This Matters)
The standard "Send Review" button in HighLevel won’t work with third-party SMS providers — including myCRMSIM SIMs. 😤
To fix that, we’ve built a custom workflow + smart button system that ensures review requests are triggered correctly via your own SIM or email. Plus, we’ve added automations to cleanly handle follow-ups, branching logic for mobile/email, and workflow exits when a review link is clicked.
🛠️ Prerequisites
✔️ You must have the myCRMSIM snapshot installed
✔️ You need access to workflows, custom fields, and trigger links
✔️ Set up your review trigger link (Google review URL)
✔️ Update your review email template in Reputation Management
✅ Step-by-Step Instructions
‣ Open a contact record in your account
‣ Click “Send Review Request” (custom button we created)
‣ Make sure to click Save after pressing the button – this triggers the workflow
📝 Note: This button replaces the default HighLevel review request button, which doesn’t support custom SMS setups.
🔁 Step 2: Workflow Logic Breakdown
When the workflow is triggered (by button OR automation):
🧾 Add a Note to the Contact (e.g., “Customer sent review request”)
👤 Assign to User (update this step to assign to your team member)
🏷️ Tag Contact with review-requested
🔁 Reset Review Request Button (for future requests)
⏳ Wait 2 Days (you can change this default)
🔀 Step 3: Conditional Logic by Phone Type
We added a country-specific condition (for Australia 🇦🇺) to check if the number starts with +614:
✅ If mobile number exists, send SMS
❌ If not, send email only
🌎 You can remove or customize this condition based on your country (e.g. +1 for USA, +44 for UK).
💬 Step 4: Sending SMS and Emails
📧 Email: Uses the default HighLevel review email (triggered for tracking + metrics)
📲 SMS: Sent in 2 parts:
Message 1: Friendly intro
Wait a few seconds...
Message 2: Review link with a personal touch
🎯 This feels more natural and human than a long automated message.
🔗 Step 5: Add Your Google Review Trigger Link
🚨 IMPORTANT: You must update this!
‣ Find the trigger link placeholder in the workflow
‣ Replace the placeholder (usually just a #) with your actual Google review link
Also update the email template under:
Reputation Management → Settings → Email Builder
Edit the button inside the email and set its URL to your trigger link
✅ We use the same trigger link in both the SMS and email.
🧹 Step 6: Review Click = Workflow Exit
We’ve added a removal workflow:
If the customer clicks the trigger link (in either the email or SMS), they’ll be removed from the workflow — no more reminders.
❗ This doesn’t confirm they left a review, just that they clicked. But we assume they engaged and don’t want to spam them again.
