How to Set Up the Native Missed Call Text Back Workflow

This guide explains how to set up the native Missed Call Text Back (MCTB) workflow using the myCRMSIM Android app. This feature allows you to automatically send a text message to callers when you miss their call, directly through your native Android device.

✅ Prerequisites
  • You must have the latest version of the myCRMSIM Android app installed.
  • You need to download the myCRMSIM Snapshot from the support center, which includes this workflow.

Step 1: Add the Missed Call Trigger
  1. Go to Automation in your CRM and open the workflow builder.
  2. Click Add New Trigger.
  3. Search for myCRMSIM in the search bar.
  4. Select the Missed Call Trigger from the Installed Apps section.
💡 Note: This is a premium trigger, but myCRMSIM currently waives the fees for this action.
Step 2: Configure the "Contact Found" Path
  1. The workflow uses a Find Contact step to check if the caller is already in your CRM.
  2. If the contact is found, the workflow goes down the left path.
  3. It will first add a note to the contact record (e.g., "{{contact.name}} tried to call you but did not leave a VM").
  4. Next, it waits for a specified time. We recommend setting this to 5–15 minutes for a more natural feel.
  5. Finally, it sends an SMS. You can personalise this message using variables like {{contact.first_name}} and {{user.first_name}}.


    Step 3: Configure the "Contact Not Found" Path
    1. If the caller is not in your CRM, the workflow goes down the right path.
    2. It will first Create Contact using the caller's phone number.
    3. It adds a note and waits, similar to the other path.
    4. Finally, it sends a generic SMS that does not include the contact's name, since it is unknown.
    Step 4: Set Up the Holding Area to Prevent Spam
    1. After the SMS is sent on either path, a Go To step sends the contact to a Wait 60 minutes step at the end of the workflow.
    2. This acts as a holding area. If the person calls back multiple times within that hour, they won't receive the same text message repeatedly.
    3. To ensure this works, go to the Settings tab of the workflow builder.
    4. Make sure the toggle switch for Allow re-entry is turned OFF.
    ⚠️ Important: Keeping "Allow re-entry" turned off is crucial to prevent sending duplicate messages to the same caller within a short timeframe.
