Setting up Missed Call Text Back for Landline Numbers
🎯 Purpose:
To automatically send a follow-up SMS when someone calls your landline number (set up through LeadConnector or Toio) and doesn’t get through — since landlines can't use myCRMSIM SIMs for calling.
🧠 Background (Why This Matters)
If you're using a landline number for inbound/outbound calls (via LeadConnector/Toio), you can't use myCRMSIM for direct calling.
However, with this workflow, you can still automatically follow up missed calls with a text, giving you the same seamless experience and responsiveness.
🛠️ Prerequisites
✔️ Your landline number is set up with LeadConnector or Toio
✔️ You’re using the myCRMSIM workflow snapshot
✔️ You have access to workflows + triggers in your HighLevel account
✅ Step-by-Step Instructions
Go to the Landline Missed Call Workflow in your account.
Find the Trigger Step and update the following:
Call Direction: Incoming
Call Status: Busy, Canceled, Voicemail, or No Answer
Phone Number: Replace this with your landline number
☝️ If you use multiple landline numbers, duplicate the trigger and enter each number individually.
📍 This ensures the automation only fires on missed calls from your specific landline(s).
Once triggered, the workflow:
✍️ Adds a Note to the contact: “Missed call on landline.”
👤 Assigns to a user (make sure to update this to your team member)
⏱ Waits 30 seconds (brief pause before reply)
📲 Sends SMS:
“Hey, sorry I missed your call — I was tied up a moment ago. How can I help?”
⏳ Waits 60 minutes to prevent repeat messages
💡 This 60-minute wait ensures if the caller tries again shortly after, they don’t get bombarded with repeated texts.
