Pipeline & Opportunities Guide

The Pipeline feature in MyCRMSIM helps you manage leads, deals, and opportunities in a clear CRM-style view. It allows you to track each opportunity through different stages, such as New, Contacted, Qualified, Booked, Won, and Lost.
This feature is useful for managing sales, follow-ups, bookings, and customer progress in one place.
What is a Pipeline?
A pipeline is a workflow-style sales board where opportunities are organized by stages.

For example

A lead may start in the New stage, then move to Contacted, then Qualified, then Booked, and finally Won or Lost.
What is an Opportunity?
An opportunity is a deal or lead connected with a contact. Each opportunity can include details such as name, contact, value, stage, status, source, and tags.
A single contact can have more than one opportunity if needed.
Default Pipeline Stages
When the Pipeline page is opened for the first time, a default pipeline may be created automatically.

The default stages are: 

  • New
  • Contacted
  • Qualified
  • Booked
  • Won
  • Lost
These stages help organize opportunities from the first contact to the final result.
How to Open the Pipeline Page
  • Go to the MyCRMSIM dashboard.
  • From the sidebar, click Pipeline.
  • The Pipeline page will open with a board view where opportunities are shown as cards inside different stages.
Pipeline Board View
  • The board view shows opportunities in columns based on their stages.
  • Each column represents a stage, and each card represents an opportunity.
  • You can use this view to quickly see:
  1. Total opportunities
  2. Current stage of each lead
  3. Opportunity value
  4. Open pipeline value
  5. Number of opportunities in each stage
Creating a New Opportunity
To create a new opportunity:
  1. Click New Opportunity.
  2. Search and select the contact.
  3. Enter the opportunity name.
  4. Add the value if needed.
  5. Select the pipeline and stage.
  6. Save the opportunity.
After saving, the opportunity card will appear in the selected pipeline stage.
Important:
A contact is required when creating an opportunity. The system should not save an opportunity without selecting a contact.
Moving an Opportunity Between Stages
You can move an opportunity from one stage to another by dragging the card to the required column.

For example: 

  • Move a lead from New to Contacted after reaching out.
  • Move a lead from Qualified to Booked after booking an appointment.
  • Move a lead to Won after the deal is completed.
  • Move a lead to Lost if the deal is not successful.
  • After moving the card, the stage should update and remain saved after refreshing the page.
Editing an Opportunity
To edit an opportunity:
  1. Click the opportunity card.
  2. Update details such as name, value, source, tags, stage, or status.
  3. Save the changes.
The updated information should appear on the card and remain saved after refreshing the page.
Deleting an Opportunity
To delete an opportunity:
  1. Open the opportunity card.
  2. Click Delete.
  3. Confirm the action.
After deletion, the opportunity should be removed from the pipeline and should not appear again after refreshing.
Creating a New Pipeline
If your business needs a separate process, you can create a new pipeline.
To create a new pipeline:
  1. Click New Pipeline.
  2. Enter the pipeline name.
  3. Save it.
The new pipeline will appear in the pipeline switcher.

For example: 

  • Onboarding Pipeline
  • Booking Pipeline
Switching Between Pipelines
Use the pipeline switcher to move between different pipelines.
Each pipeline shows only its own stages and opportunities. Opportunities from one pipeline should not appear inside another pipeline.
Adding a New Stage
To add a new stage:
  1. Open the required pipeline.
  2. Click Add Stage.
  3. Enter the stage name.
  4. Save it.
The new stage will be added to the pipeline board.

Example stage names: 

  • Proposal Sent
  • Follow-up Required
    List View
    The Pipeline page may also include a List View.
    List View shows opportunities in table format with details such as:
    • Contact
    • Stage
    • Value
    • Status
    • Source
    • Tags
    This view is useful when you want to search, filter, or review opportunities quickly.
    Automation with Pipelines
    Pipelines can also work with workflow automations.
    Automation triggers may include:
    • Opportunity Created
    • Opportunity Stage Changed
    • Opportunity Status Changed
    These triggers can be used to start workflows automatically when an opportunity is created, moved, or updated.

    For example: 

    • Send a message when a new opportunity is created.
    • Send a follow-up when an opportunity moves to Booked.
    • Notify the team when an opportunity is marked as Won.
    Pipeline Automation Actions
    Automation actions may include:
    1. Create Opportunity
    2. Move Opportunity Stage
    3. Update Opportunity Status
    These actions help update opportunities automatically through workflows.

    For example: 

    • A workflow can create a new opportunity for a contact.
    • A workflow can move an opportunity to another stage.
    • A workflow can update the opportunity status to Won or Lost.
    AI Agent and Pipeline Integration
    AI Agents can also work with opportunities.

    For example: 

    • If a customer shows interest in a product or service, the AI Agent can create an opportunity.
    • If an appointment is booked, the opportunity can move to Booked.
    • If the customer confirms payment or closes the deal, the opportunity status can be updated to Won.
    • This helps keep the pipeline updated automatically while the AI Agent handles the conversation.
    Important Notes
    Existing contacts do not automatically get opportunities. Opportunities need to be created manually, through automation, or by AI Agent actions.
    Each workspace has its own pipelines and opportunities.
    Opportunities should remain separate between different workspaces and accounts.
    A contact can have multiple opportunities.
    Pipeline actions should not affect unrelated contacts or other workspaces.
    Troubleshooting
    Pipeline is not showing in the sidebar

    Check whether the account has access to Contacts, Automations, or Leads/Pipeline features.
    Opportunity is not saving
    Make sure a contact is selected before saving the opportunity.
    Opportunity moved but did not stay after refresh
    Refresh the page and check again. If the card returns to the old stage, report it as a pipeline stage update issue.
    Pipeline board is not loading
    Check the internet connection and try again. If the issue continues, use the Retry option if available.
    Automation is not running from pipeline changes
    Make sure the workflow is active and the correct opportunity trigger is selected.
    AI Agent is not moving the opportunity
    Make sure the stage exists in the selected pipeline and the AI Agent has the correct pipeline action configured.
