Connecting Multiple WhatsApp Numbers to a Single Sub-Account in HighLevel CRM

🚀 Overview

This SOP explains how to connect multiple WhatsApp numbers to the same HighLevel sub-account. 


This is useful when:

  • You want multiple team members using individual WhatsApp numbers.

  • You want to increase message-sending volume across different devices.

✅ Prerequisites

Before starting, ensure the following:

  1. WhatsApp Devices Installed & Connected

  2. Users Created in Sub-Account

    • Each WhatsApp number must be assigned to a user.

    • Create additional or dummy users if needed.

⚙️ Step-by-Step Setup1. Verify Devices
  • Navigate to Devices > WhatsApp

  • Confirm that:

    • Your first WhatsApp device is already attached.

    • A second device is connected but not yet assigned.

2. Assign WhatsApp Device to User
  • Go to your Sub-Account.

  • Click Assign New WhatsApp Device.

  • Choose the user you want to assign it to.

  • Select the second device.

  • Click Assign.

3. Set Messaging Preferences
  • Go to Settings > Preferences.

  • Set your messaging order:

    • Example: WhatsApp > iMessage > SMS.

    • WhatsApp is prioritized, iMessage is fallback, SMS is the final fallback (if on iPhone).

💬 How Messaging Works with Multiple WhatsApp Users▶️ Automated Messages (Workflows)
  • Leads assigned to a user will receive messages from that user's WhatsApp number.

  • If a lead is reassigned, future messages will come from the new user's number.

✉️ Manual Messages (Conversation Tab)
  • Sent from the logged-in user’s WhatsApp number, regardless of who the lead is assigned to.

To manually send from the correct number:
  1. Switch Users:

    • Log in as the user assigned to the lead.

    • Send message manually.

  2. Use MultiSIM Message Override (Recommended):

    • Install the myCRMSIM Snapshot.

    • Use the MultiSIM Messaging Override workflow.

    • Messages are automatically sent from the correct user's number, even if you're logged in as someone else.

⚖️ Message Volume Tips
  • WhatsApp: ~1 message per minute per device once warmed up.

  • iMessage: Up to 50 new recipients per day.

  • SMS via Android SIMs: Needed for bulk messaging or reactivations.

Use WhatsApp + iMessage for conversational messages, and WhatsApp + SMS (with Android SIM) for volume/bulk campaigns.
