WhatsApp Missed Call Trigger β€” Setup Guide

This guide explains how to create a HighLevel workflow that automatically sends a WhatsApp message to a contact when they call your business number and the call is missed or unanswered.
The workflow uses the myCRMSIM - SMS, iMessage & WhatsApp app in HighLevel. The missed call is detected by the Missed Call Trigger, and the automatic reply is sent using the Send WhatsApp action.
Important: The message is sent through your connected WhatsApp device (Android or iPhone), not through HighLevel's standard SMS provider. Once the device is connected, WhatsApp runs on the myCRMSIM cloud server, so the phone does not need to remain switched on.
Β
To make the setup easier, you can download the pre-built HighLevel snapshot below.
πŸ‘‰ Download the WhatsApp Missed Call Trigger Snapshot
Once you download and import the snapshot into your HighLevel account, the WhatsApp Missed Call Trigger workflow will be created automatically, so you do not need to build the workflow from scratch.
After importing the snapshot, simply review the workflow settings, make sure your WhatsApp device and routing are configured correctly, and then publish the workflow.
If you want to create the workflow yourself, follow the steps below.
What You Will Build
The workflow follows this process:
Missed Call β†’ Missed Call Trigger β†’ Find Contact β†’ Send WhatsApp
The workflow will:
  • Detect a missed call.
  • Find the caller's contact using the caller's phone number.
  • Send a WhatsApp message if the contact is found.
  • End the workflow if no matching contact is found.
1. Prerequisites
Before setting up the WhatsApp Missed Call Trigger, make sure the following requirements are met:
  • A smartphone (Android or iPhone) with an active WhatsApp account.
  • Access to your myCRMSIM and HighLevel dashboards.
  • The subaccount must have a WhatsApp device connected and assigned to it.
  • Message Routing must be properly configured for the connected device, with WhatsApp included in the priority order.
  • The correct Custom Provider must be selected in HighLevel: My SMS Gateway App – SMS, WhatsApp, and iMessage.
  • The contact must have a valid phone number saved in their profile.
Note: Once connected, WhatsApp runs on the myCRMSIM cloud server. Your phone can be switched off, and messages will continue to be sent and received.

    • The workflow will now create two branches:
      • Contact found
      • Contact not found
Note: If the caller does not exist as a contact in the HighLevel location, the workflow will follow the Contact not found branch.

      3. Troubleshooting

      Issue

      What to Check

Missed Call Trigger is not available

Make sure the myCRMSIM app is installed in the HighLevel location and that the trigger appears under Installed apps.

      The workflow does not run

Make sure the trigger filter is configured as Duration β†’ Is not empty and that the workflow is Published.

      Caller reaches Contact not found

The caller's phone number does not exist as a contact in the HighLevel location.

Workflow executes but the message is not delivered

Verify that WhatsApp is enabled in Message Routing, the WhatsApp device is connected and assigned to the correct subaccount, and the correct Custom Provider is selected in HighLevel.

The WhatsApp device shows as disconnected

Re-link the device by opening WhatsApp β†’ Linked Devices on the phone, or send a new pairing link from the myCRMSIM dashboard under Devices β†’ WhatsApp Devices.

The recipient does not receive the WhatsApp message

The recipient's number must have an active WhatsApp account. If the number is not registered on WhatsApp, the message cannot be delivered.

The workflow stops working after some time

Confirm that the WhatsApp device still shows as connected in the myCRMSIM dashboard under Devices β†’ WhatsApp Devices.

      Unexpected charges appear

The Missed Call Trigger is a premium trigger and may incur additional charges per execution.

Messages stop sending or the account is flagged

WhatsApp is not a bulk messaging channel. Keep messages conversational, avoid bulk messaging, and keep the WhatsApp account verified and active.

      4. Important Notes
      • The WhatsApp device must be connected and assigned to the correct HighLevel subaccount.

      • The workflow sends the automatic WhatsApp message only when the caller is found as an existing contact.
      • The Missed Call Trigger is a premium trigger and may incur additional charges per execution.
      • WhatsApp is not intended for bulk messaging. Use it for compliant, conversational messages and keep the WhatsApp account active.
      • Send From is not required for this workflow.
