Connecting Multiple RCS Devices to a Single Sub-Account in HighLevel CRM

🚀 Overview

This SOP explains how to connect multiple RCS Android devices to the same HighLevel sub-account.

This is useful when:

  • Multiple team members need to send messages using their own Android numbers
  • You want to increase messaging capacity across different devices
  • You want conversations to come from assigned agents’ numbers
 
✅ Prerequisites
Before starting, ensure the following:
RCS Devices Installed & Connected
Each Android Number requires its own connected RCS device.
Follow the RCS Installation Guide first.
 
Users Created in Sub-Account
Each RCS number should be assigned to a user.
Create additional or dummy users if required.
 
⚙️ Step-by-Step Setup

1. Verify Devices

Navigate to:
Devices → RCS Devices
Confirm:
  • First RCS device is already attached
  • Second Android device is connected but not yet assigned
 
2. Assign RCS Device to User
  1. Go to your Sub-Account
  2. Click Assign New RCS Device
  3. Select the user you want to assign
  4. Choose the second Android device
  5. Click Assign


    Repeat for additional team members if needed.

       

      3. Set Messaging Preferences

      Go to:
      Settings → Preferences
      Choose messaging order (example):
      RCS → iMessage → SMS

      RCS will always be attempted first, then fallback channels if unavailable.
       

      đź’¬ How Messaging Works with Multiple RCS Users

       
      ▶️ Automated Messages (Workflows)
      • Leads assigned to a user receive messages from that user’s RCS number
      • If reassigned, future messages send from the new assigned user’s device
       

      ✉️ Manual Messages (Conversation Tab)

      By default:
      Messages send from the logged-in user’s RCS device
       

      To Send From the Correct Number

      Option 1 — Switch User
      Log in as the user assigned to the lead and send manually.

      Option 2 — MultiSIM Message Override (Recommended)
      Install the myCRMSIM Snapshot and enable the override workflow.
      Messages automatically send from the assigned user’s RCS device — even if another user is logged in.
       

      ⚖️ Message Volume Tips

      RCS behaves like conversational messaging and should be warmed gradually:
      • Recommended: ~1 message per minute per device initially
      • Increase slowly after consistent usage
      • Avoid bulk spam behavior

      For large campaigns:
      Use RCS + SMS fallback (Android SIM) instead of only RCS.
